Privacy policy
Last updated October 13, 2026
This policy explains how Complete iQ, Inc. ("Complete iQ", "we", "us") collects, uses and shares personal information through the inspection360.ai website and the Complete iQ Inspect apps and services, and the choices you have.
1. Who this policy covers
- Website visitors and prospective customers who browse inspection360.ai or ask us for a demo or information.
- People who complete an inspection, such as policyholders, claimants and fleet or rental staff who open an inspection link we send on behalf of one of our customers.
- Users of our dashboard and field app, such as adjusters, operators and administrators at the companies that use Complete iQ Inspect.
When we process inspection and claim information for an insurance carrier, adjusting firm, managing general agent, fleet operator or other customer, we do so on that customer's behalf and under its instructions. That customer decides how the information is used for its claims or vehicles, and its own privacy notice also applies. For website and marketing information, Complete iQ decides how the information is used.
2. Information we collect
Inspection content
Photos you capture of a vehicle, answers and notes you provide, and the metadata that comes with them, such as the time a photo was taken and, where your device includes it, its location.
Contact and claim details
Name, phone number, email address, vehicle details and the claim, policy or reference number connected to an inspection. These are usually provided by the company that invited you and confirmed by you.
Account information
For dashboard and field-app users: name, work email, role, organization, and sign-in records (including IP address and approximate location) that we keep for security.
Information you send us through the website
When you request a demo or contact us: your name, work email, company, job title, phone
number, company type, approximate inspection volume, country, your message, and whether you
agreed to receive marketing email. We also record how you found us, such as campaign
parameters in the link you followed (for example utm_source or an ad click
identifier), the page you first landed on and the referring site.
Device, usage and cookie information
Browser and device type, operating system, IP address, pages viewed and actions taken. On the website, this includes information collected by cookies and similar technologies, subject to the choices described in our cookie policy.
3. How we use information
- To provide inspections, generate reports and run the dashboard and field app.
- To analyze submitted photos with automated and AI-assisted tools that check completeness and quality and highlight visible damage. These results are advisory; people at the company handling your claim make every coverage, liability and payment decision.
- To send inspection links, reminders and confirmations by text message or email.
- To respond to demo and contact requests and to schedule meetings.
- To send business marketing email to people who have agreed to receive it, or where the law otherwise allows (for example, for a limited period after you contact us).
- To understand how the website is used and to measure and improve our advertising.
- To secure our services and to detect, prevent and investigate fraud and abuse.
- To comply with the law and enforce our terms.
4. Text messages
We send text messages only to deliver and remind people about inspections requested by our customers; we don't send marketing texts. Mobile information is never shared with third parties or affiliates for marketing or promotional purposes. All of the categories of recipients in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Reply STOP to opt out or HELP for help. See our SMS policy for details.
5. How we share information
- With the company that requested your inspection, which receives your photos, answers and the resulting report to handle your claim or vehicle.
- With service providers that process information for us under contract, including hosting and database providers (Render, Supabase), content delivery and security (Cloudflare), text messaging (Twilio, Brevo), email delivery (SendGrid), AI and image analysis (Google), maps and geocoding (Google), weather data, error monitoring, customer relationship management (HubSpot) and scheduling (Cal.com).
- With analytics and advertising partners such as Google and LinkedIn, only for website visitors and only as described in our cookie policy.
- For legal reasons, when required by law or legal process, or to protect the rights, property or safety of our users, customers or the public.
- In a business transfer, such as a merger or acquisition, subject to this policy.
We do not sell personal information. Some US state laws treat the use of advertising cookies on a website as "sharing" personal information for cross-context behavioral advertising. You can opt out at any time with Your privacy choices, and we treat a Global Privacy Control signal from your browser as an opt-out.
6. How long we keep information
- Inspection content and related information is kept according to the retention settings of the company that requested the inspection, and deleted or de-identified when no longer needed.
- Website inquiry records are kept for up to 24 months.
- Dashboard sign-in records are kept for security for up to 12 months.
- We may keep information longer where the law requires it or to resolve disputes.
7. Security
We use technical and organizational safeguards designed to protect personal information, including encryption in transit, providers that encrypt stored data, role-based access controls, separation of each customer's data, expiring inspection links and audit logging. No method of transmission or storage is completely secure, and we can't guarantee absolute security.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to withdraw consent, and to object to or restrict certain processing. This includes rights under Canadian privacy laws (including Quebec's), US state privacy laws such as California's, and the GDPR or UK GDPR. We won't discriminate against you for exercising these rights.
To make a request, email support@completeiq.com. We'll verify your request and respond as the law requires. Because inspection information belongs to the company that requested it, we may refer requests about a claim or vehicle to that company.
- Marketing email: every marketing email has an unsubscribe link, and we honor requests promptly.
- Cookies: use Your privacy choices or your browser settings.
9. Where information is processed
Our services are hosted in the United States, and we and our service providers may process information in Canada, the United States and other countries. Where required, we use appropriate safeguards for transfers of personal information across borders.
10. Children
Our services are intended for adults handling vehicle inspections and claims and are not directed to children. We don't knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we'll update the date above and, where appropriate, give additional notice.
